Manage tasks
Each project has a Tasks tab where you track the work the project needs. You can assign a task to people, or to an agent that does the work for you. This page shows you how to manage the task list.
Before you start
- Open the project and select the Tasks tab. See Work in a project.
- To add, edit, arrange or remove tasks, you need to be able to edit the project. Someone assigned a task can open and update that task, but can't reassign or remove it.
Read the task list
The list has these columns:

| Task | The task name. Select it to open the task. A task shown only because a task nested under it matches your filter is marked Parent Task shown for context. |
| Start / End | The task's Start and End dates. |
| Assigned to | The first assignee, with a symbol for a person or an agent. +2 and similar show how many more people are assigned. Unassigned means no one is. |
| Task Status | Not Started, Planned, In Progress, Awaiting Review or Complete. |
| Tags | The task's tags, or a dash if it has none. |
| Actions | The next step for the task, a chat button and More actions. |
Nested tasks are indented under their parent. Under the list, a line reads Showing all followed by the number of tasks, or Showing a number of the total when a filter is on.
Add a task
- Select Add Task. The Add Task dialog opens.
- In Task name, type a name. The name is required and can be up to 200 characters.
- Optional: in Description, say what the task is about.
- Under Assigned to, choose one or more people. Or, under Agent, choose one agent to do the task. A task can have people or an agent, not both.
- Choose a Task Status. When you choose an agent, the status is set to Not Started and can't be changed here.
- Optional: set a Start Date and End Date.
- Optional: tick tags under Tags. Tags are shared with your account. Anyone can attach a tag. Only its creator can rename or delete it.
- Select Save Task.
To add a task under another one, add it, select it, then select Indent.
Edit a task
- Select More actions (the three dots) on the task.
- Select Edit Task.
- Change the details you need.
- Select Save Task.

Arrange tasks
- Select a task with the button in its first column.
- Select an action:
- Move Up or Move Down moves the task among the tasks at the same level.
- Indent nests the task under the task above it.
- Outdent moves the task up one level.
An action is greyed out when the move isn't possible.
Find tasks
- Search. Type in Search Tasks… to narrow the list by name.
- Tags. Open All tags, tick one or more tags or Untagged Tasks, then select Apply. Each selected tag narrows the list and shows as a chip above it. Select the cross on a chip to remove it.
- Assignee. Open Assignee and tick people. The menu shows how many you've picked, for example Assignee (2).
To remove every filter, select Clear filters.
Move a task forward
The Actions column shows the next step:
- For a task assigned to people, Complete appears when the task is In Progress. Select it to mark the task complete.
- For a task assigned to an agent, Plan, Re-plan or Complete appears. See Run a task with an agent.
For a task assigned to people, the chat button (Start a new conversation for this Task) starts a chat linked to the task.
Remove a task
- Select More actions on the task.
- Select Remove Task.
- Read the dialog. It says what will be removed, including any tasks nested below it.
- Select the Remove button, for example Remove 1 Task, or select Cancel.
Removing a task can't be undone. You can remove up to 50 tasks at once.
Some tasks can't be removed. The dialog says This Task cannot be removed and explains why:
- An agent is running on the task now. Wait for it to finish, or stop it, then try again.
- The task has agent run history or a linked conversation. Tasks that record work done can't be removed.
Troubleshooting
- No Tasks yet. Add only the work you need to track. The project has no tasks. Select Add Task.
- No Tasks match this Search and selected Tags. Select Clear filters to see every task.
- End Date cannot be before Start Date. Change one of the dates.
- Choose people or a single agent, not both. Clear either the people or the agent.
- A Task can be run by only one agent. Choose one agent.
- There is no task above this one at the same level. The task can't move that way. Choose another action.
